Business Coffee Guide - Part 5

What Happens When Your Coffee Machine Breaks Down?

A broken machine is a workplace crisis. Before you sign any contract, you need hard specifics – response times, what’s included, whether you get a loan machine, and who pays for parts. Here’s exactly what to ask.

Why Service Terms Matter

A Broken Machine Isn't Just an Inconvenience

For an office, a broken coffee machine can mean frustrated staff heading to a nearby café for the morning – losing productivity and spend. For a hotel or café, it can mean a direct hit to revenue and guest experience. The quality of your supplier’s service response is just as important as the machine itself.

The right question to ask any supplier isn’t “do you offer service cover?” – everyone says yes. The right question is: “What is your guaranteed on-site response time if my machine breaks down?” The answer should be a specific number of hours, not a vague reassurance.

Preventative vs. Reactive

We also provide HSA coffee machines thorough examinations.

What Happens When You Call a Breakdown?

1

Contact our service team

Call (01) 533 4911 or email info@verocoffee.ie. Describe the fault and confirm your machine model and location. Our team will log the call and assign the nearest available engineer.

2

Engineer dispatched

A qualified Vero engineer is dispatched from the nearest location in our nationwide network. For urgent commercial breakdowns, our target is to have an engineer on-site within 24 hours.

3

On-site diagnosis and repair

Our engineers carry a comprehensive range of parts and tools. Most faults are diagnosed and resolved in a single visit. For rental and maintenance contract customers, parts and labour are included at no additional charge.

4

Loan machine if needed

If a repair requires the machine to be taken off-site, we provide a loan machine to keep your coffee running while yours is fixed. You won’t be left without.

IoT Monitoring: Getting Ahead of Problems

Selected machines in the Franke and Bestir range offer IoT connectivity – meaning the machine reports performance data in real time to a central management system. This allows our team to monitor usage, detect early signs of a fault, and in many cases flag a potential issue before it becomes a breakdown.

For high-use environments – busy offices, hotel lobbies, retail settings – IoT- connected machines significantly reduce unplanned downtime. Ask our team about IoT-enabled options when discussing your machine specification.
