The Honest Answer

How Much Daily Cleaning Does a Commercial Coffee Machine Need?

This is the question most businesses ask before they commit – and rightly so. The good news: modern bean-to-cup machines have largely automated the cleaning process. Most daily routines take under five minutes and require no specialist knowledge.

The amount of cleaning required depends on the machine type you choose. Bean-to-cup machines with automated cleaning cycles handle the majority of internal maintenance themselves. Traditional espresso machines require more hands-on daily care from whoever operates them.

Cleaning Schedule by Machine Type

Daily - Bean to cup

Every Working Day

  • Empty coffee grounds container
  • Empty and rinse drip tray
  • Run automatic rinse/clean cycle (bean-to-cup) with cleaning tablet
  • Wipe exterior surfaces
  • Flush milk system (if fresh milk) with cleaning fluid

Approx 2-5 minutes

WEEKLY - bean to cup

Once a Week

  • Deep clean milk system
  • Clean bean hopper
  • Clean internal brew unit with cleaning tablet
  • Clean steam wand (espresso machines)
  • Wash and clean drip tray

Approx 10-20 minutes

traditional

Milk Hygiene: Fresh Milk vs. Granulated Milk

Milk hygiene is the most important maintenance consideration for any machine that makes lattes, cappuccinos or flat whites. Here’s the honest comparison between the two systems:

Fresh Milk System

Cafe Quality · More Maintenance

Uses real chilled milk stored in a refrigerated carafe. Produces genuine microfoam – the same texture as a coffee shop latte.

  • Best possible milk quality and taste
  • Staff can see and smell the milk
  • Preferred by most employees
  • Milk tubes must be flushed daily
  • Milk will spoil if not used over a long weekend
  • More daily cleaning steps

Granulated Milk Powder

Lower Maintenance · Longer Shelf Life

Uses dried milk powder stored in a sealed hopper inside the machine. No refrigeration needed – the system is largely self-contained.

  • No daily milk flushing required
  • No spoilage risk over weekends or holidays
  • Significantly easier maintenance
  • Still needs periodic hopper cleaning
  • No refrigerated storage required

Weekend Worries - Solved

If your office is closed during the weekends, a fresh milk machine needs its milk lines flushed and the milk tank emptied before close of business on Friday. This takes about two minutes. Modern machines with automated milk-flush programmes handle most of this automatically at shutdown.

Alternative Milks: Oat, Almond and Soy

Alternative milks are now a standard request in most Irish workplaces. Here’s what you need to know before choosing a machine.

Can bean-to-cup machines use oat milk?

Yes – most modern commercial bean-to-cup machines can use oat milk and other plant-based alternatives. However, not all machines handle alt-milks equally well. Oat milk in particular can leave a residue in milk tubes that builds up faster than dairy.

Cross-contamination and dual-milk systems

If your team includes people with dairy allergies, cross-contamination in the milk system is a genuine concern. Some commercial machines – including options in the Franke range – offer dual-milk systems with separate tubes for dairy and non-dairy milks, preventing any contact between them.

What changes with the cleaning routine?

Alt-milks require the same cleaning as dairy. If your machine uses oat or almond milk heavily, we recommend daily flushing of the milk circuit and a thorough weekly deep clean of the milk system. Our team will advise on the right routine for your specific machine and milk choice.

What About Descaling?

Limescale is the single biggest threat to a commercial coffee machine in Ireland. Irish water – particularly in Dublin, Kildare, Meath and across much of the east and midlands – is extremely hard, meaning it contains high levels of calcium and magnesium that build up inside the machine over time.

Left untreated, limescale restricts water flow, reduces boiler efficiency, affects coffee temperature and taste, and eventually causes serious damage – sometimes voiding the warranty.

What Vero Covers

All Vero rental and maintenance contracts include descaling and water filter replacement as standard. If you purchase or rent a machine, our preventative maintenance plans cover annual descaling by a qualified engineer.

Frequently Asked Questions

For most modern bean-to-cup machines, daily staff effort is 2-5 minutes: emptying the grounds container, rinsing the drip tray, and running the machine’s automatic rinse cycle. If the machine has a fresh milk system, flushing the milk lines takes a further 1-2 minutes. The machine handles internal cleaning automatically.

If the machine uses fresh milk, yes – milk left in the tubes over a weekend will spoil. Modern machines with automated milk-flush programmes handle this at shutdown, but someone needs to empty the milk carafe before leaving. Machines with granulated milk powder don’t have this problem – the powder system is sealed and doesn’t spoil.

Modern bean-to-cup machines have automated cleaning programmes that run internal rinse and clean cycles – often automatically after a set number of drinks or at scheduled times. These cycles handle internal components that staff can’t access. Staff are still responsible for emptying external waste containers and wiping down the machine daily, but the internal work is automated.

Daily and weekly routines are designed to be carried out by any staff member with no training beyond a brief walkthrough. We provide straightforward cleaning guides for every machine we supply. Deep monthly cleaning and annual professional servicing should be carried out by a qualified engineer – Vero’s maintenance contracts cover this as standard.

Yes. All Vero rental contracts include preventative maintenance, annual servicing, descaling, water filter replacement and full breakdown cover. You don’t pay separately for any of these.
